The Inland Revenue Department's Stamp Office provides e-Stamping services and tenancy-agreement stamping information, including forms and guidance for cases that need presentation to the Stamp Office. Before using the workflow, make sure the lease facts are accurate, the parties agree on the document being stamped, and you understand what evidence the stamp certificate will and will not prove.

Confirm the document being stamped

Start with the signed tenancy agreement. Check the landlord name, tenant name, address, flat or room number, lease start date, lease end date, rent, deposit, rent-free period if any, renewal option, break clause, and whether there are duplicates or counterparts. If there were later amendments by WhatsApp or email, do not ignore them. Ask whether the stamped document should include the latest agreed terms or whether a supplemental document also needs attention.

Check whether e-stamping is the right route

The IRD e-Stamping page should be the starting point. Some straightforward tenancy agreements may be suitable for e-stamping. Other documents may need presentation, extra information, or a form such as an application or request connected with stamp duty. Check the current IRD guidance for eligibility, payment, acknowledgement, duplicate instruments, late stamping, and document presentation. If the lease is unusual, incomplete, unsigned, or in dispute, confirm the route before entering figures.

Prepare the figures

Stamping mistakes often come from rushed data entry. Prepare a table showing rent per month, lease term, rent-free periods, premium or key money if any, deposit, management fee, and other regular charges. Do not include a charge in the wrong category just to make the calculation easier. If the rent changes during the term, show the dates and amounts. If there are several tenants or landlords, record all parties consistently with the lease.

Also check whether the agreement has one original, multiple counterparts, a renewal letter, or a side letter changing rent or term. Keep file names plain: signed lease, amendment, rent schedule, stamping receipt, and stamp certificate. This makes later review much easier if a bank, employer, school, landlord, tenant, or tribunal asks what was actually stamped.

Who pays and who keeps proof

Parties often argue about who should pay stamp duty because the lease is silent or the agent gave casual advice. Check the lease clause and current official information before assuming. Whatever the private allocation, keep payment proof, stamp certificate, transaction reference, stamped lease copy, and messages confirming reimbursement or sharing. If one party handles the stamping, the other should ask for a copy of the stamped document and receipt rather than relying on a verbal promise.

Common mistakes

Do not stamp a draft that differs from the signed lease. Do not enter the wrong rent period. Do not forget counterparts or later amendments. Do not assume stamping decides whether a deposit deduction is fair. Do not confuse IRD stamping with RVD tenancy notices. Do not wait until a separate deadline, such as employer reimbursement or school paperwork, leaves no time to correct an error.
